OmnioChat Billing, Cancellation & Refund Policy

This policy explains how OmnioChat subscriptions are billed, how to cancel, and when we refund. It forms part of the Terms of Service.

1. Plans and billing cycle

• Subscriptions are billed in advance for the period you choose (monthly or annually) and renew automatically until cancelled.
• Prices are shown exclusive of tax unless stated. Where a provider acts as merchant of record, it will add any tax it is required to collect.
• Your plan sets limits on connected channels, seats and monthly message volume. Reaching a limit blocks the action concerned until you upgrade; it does not silently charge you more.
• Platform charges are not ours. WhatsApp conversation-based pricing and any other platform fee are billed to you directly by Meta or the relevant provider. We neither collect nor refund them.

2. Trials

• Where a free trial is offered, its length is stated at sign-up. No charge is made during the trial.
• We email a reminder before a trial converts to a paid subscription.
• Cancel at any point during the trial and you are not charged.

3. Upgrades and downgrades

• Upgrades take effect immediately and are prorated for the remainder of the current period.
• Downgrades take effect at the next renewal. You keep the higher plan until then; we do not refund the difference for the current period.
• If a downgrade would put you over the lower plan’s limits, reduce your usage first — otherwise affected features stop working at renewal.

4. Cancellation

• Cancel at any time from billing settings, or by emailing support@omniochat.com.
• Cancellation stops the next renewal. Your workspace stays fully usable until the end of the period you have already paid for.
• After that, the workspace becomes read-only for 30 days so you can export your data, then it is deleted per the Privacy Policy.
• Cancelling does not delete your data immediately. To erase it now, use the deletion instructions.

5. Refunds

We refund in full when:

• you were charged after cancelling, or charged twice;
• a billing error on our side led to an incorrect charge;
• a fault on our side made the Service substantially unusable for a sustained period and we could not fix it — prorated to the affected time, or in full where the whole period was affected;
• the law where you live gives you a cancellation right (for example an EU/UK consumer withdrawal right) and you exercise it in time.

We do not normally refund:

• an unused portion of a period you chose to cancel partway through;
• a subscription cancelled because a Platform suspended or restricted your account for a policy breach;
• a suspension or termination caused by your breach of the Acceptable Use Policy;
• charges billed to you by Meta or another platform.

Outside those cases we still consider requests on their merits — write to us and explain. Approved refunds go back to the original payment method, typically within 5–10 business days depending on your bank and provider.

6. Failed payments

• We retry a failed payment several times over roughly two weeks and email you each time.
• If it still fails, the workspace is suspended — not deleted. Data is retained through the normal cancellation timeline.
• Settle the balance and access is restored immediately.

7. Chargebacks

Please contact us before raising a chargeback — nearly every dispute is a billing misunderstanding we can resolve faster than a bank can. A chargeback raised without contacting us may result in immediate suspension while it is investigated.
