OmnioChat User Data Deletion Instructions

How to request deletion of your data from OmnioChat, including the Facebook, Instagram and WhatsApp data we process on a business's behalf.

Version 1.0 · effective . Previous versions are available on request from legal@aa-labs.co.

This page explains how to have your data deleted from OmnioChat. It covers everyone: businesses that subscribe to OmnioChat, team members within a workspace, and people who simply messaged a business that uses OmnioChat.

Submit a deletion request

1. Which situation applies to you?

You are… Do this
A business that connected a Facebook, Instagram or WhatsApp account to OmnioChat Section 2 — disconnect and delete from inside OmnioChat, or ask us to delete the whole workspace.
A team member in someone else’s OmnioChat workspace Section 3 — ask the workspace owner to remove you, or ask us directly.
Someone who messaged a business through WhatsApp, Messenger or Instagram Section 4 — the business controls that conversation; we will help you reach it.
Removing OmnioChat from your Facebook or Instagram account Section 5 — what happens automatically when you do.

2. If you are an OmnioChat customer

Delete specific data yourself

  1. Sign in to OmnioChat at https://omniochat.com.
  2. Disconnect a channel — Settings → Channels → Disconnect. This destroys the stored access token immediately and stops any further data reaching us from that channel.
  3. Delete conversations or contacts — open the record in the inbox or contact list and delete it.
  4. Delete knowledge-base documents — Settings → AI → Knowledge bases. Deleting a document also removes the vectors derived from it.

Delete the entire workspace

Ask us to close the account and erase everything in it — every conversation, message, attachment, contact, lead, campaign and stored credential.

  1. Use the deletion request form, or email privacy@omniochat.com from the address on the workspace owner’s account.
  2. Include the workspace name and the phrase “delete my OmnioChat workspace”.
  3. We verify that the request comes from an authorised owner. This is a safeguard, not an obstacle — it is what stops someone else deleting your business’s data.
  4. You receive a confirmation code and a status URL. Deletion completes within 30 days, usually far sooner.

Encrypted backups are purged on their own cycle, within 90 days. Deleted records are never restored to live systems if a backup is ever used. Invoices and payment records are retained for 7 years because tax law requires it; they contain billing details, not conversation content.

3. If you are a team member in a workspace

Your account belongs to the workspace that invited you. Ask its owner or an administrator to remove you — that deletes your user record and unassigns you from conversations. If you cannot reach them, or they will not act, write to privacy@omniochat.com and we will remove your personal account data. Note that messages you sent to customers remain part of the business’s conversation history — it is that business’s record, not yours, and we cannot unilaterally erase it.

4. If you messaged a business that uses OmnioChat

OmnioChat is the software the business uses to read and answer its messages. We hold that conversation on the business’s behalf, which means the business decides whether it is deleted.

  1. Ask the business directly. The fastest route is to reply in the same WhatsApp, Messenger or Instagram thread and ask them to delete your data. They can do it in a few clicks.
  2. Or tell us. Submit the deletion request form or email privacy@omniochat.com with the phone number or account handle you messaged from, and the name of the business. We will forward the request to that business, require them to act on it, and confirm to you when they have. Where the law makes us act directly, we will.

Deleting the conversation from OmnioChat does not delete it from WhatsApp, Messenger or Instagram themselves — those copies are held by Meta and by the other party’s device, and are outside our control.

5. Removing OmnioChat from your Facebook or Instagram account

You can revoke OmnioChat’s access at any time, without asking us:

  • Facebook: Settings & privacy → Settings → Apps and Websites → OmnioChat → Remove.
  • Instagram: Settings → Website permissions → Apps and websites → OmnioChat → Remove.
  • WhatsApp Business: Meta Business Suite → Business settings → WhatsApp accounts → remove OmnioChat’s access to the number.

When you remove the app on Facebook, Meta sends us an automated, cryptographically signed deletion notification. We record it, return a confirmation code and a status URL to Meta, and delete the associated data within 30 days. If you were given a confirmation code, you can check its progress at any time:

https://aa-labs.co/data-deletion/status/<your-confirmation-code>

Revoking access stops further data flowing to us immediately. It does not, by itself, delete the data already stored — for that, use one of the routes above.

6. What deletion actually removes

Deleted Retained, and why
  • Conversations and every message in them
  • Media attachments in object storage
  • Contacts, tags, notes, custom fields and segments
  • Leads, campaign records and automation state
  • Knowledge-base documents and their embeddings
  • Channel access tokens and account identifiers
  • User accounts, sessions and push subscriptions
  • Synced store customers, orders and carts
  • Invoices and payment records — 7 years, required by tax and accounting law
  • Security and audit log entries recording that a deletion happened — without content
  • Aggregate counters that identify no individual
  • Encrypted backups until their 90-day cycle completes

7. Timeline and confirmation

  • We acknowledge every request within 3 business days.
